Chapter Onboarding 8 steps

Standing up a brand-new chapter — the very first step before any season can exist. Almost entirely on the roadmap today.

On the roadmap · System admin

1. Create a chapter

The chapters table exists, but there’s no create-chapter service or admin UI yet. Chapters are seed-only today — a system admin can’t stand up a new organization from the app.

On the roadmap · System admin

2. Define the chapter’s disciplines

There’s no discipline concept in the schema yet. Today the platform implicitly supports one discipline (full-length competition theater) — picking theater vs. choir vs. public speaking, each with its own default rubric set, is on the roadmap.

On the roadmap · System admin

3. Invite the chapter admin by email

No invitation system yet. Every chapter-admin membership in the seed data is inserted directly, not through an invite flow.

On the roadmap · Chapter admin

4. Chapter admin accepts invite / creates their account

Sign-in itself works — but there’s no invite-acceptance flow that binds a brand-new account to a specific chapter and role yet.

Available · Chapter admin

5. Chapter home — read-only profile

This is as close as the app gets to a chapter profile today: a read-only home with quick links to Schools, People, and Important Dates, plus a list of the chapter’s seasons.

On the roadmap · Chapter admin

6. Chapter admin configures feature toggles

Season-level policy toggles exist (voting thresholds, nomination windows). Chapter-level settings — auto-reminders, email notifications — don’t yet.

On the roadmap · Chapter admin

7. Chapter admin agrees to terms / acknowledgments

No terms/acknowledgment model exists yet — nothing records that a chapter admin accepted responsibility for handling sensitive student data.

On the roadmap · Chapter admin

8. Chapter admin can now create seasons

Chapter-admin permissions already gate the rest of the app correctly — but season creation itself is missing. See Season Setup below for what season management actually does today.

Season Setup 12 steps

Standing up a competition year — calendar, schools, performances, and award categories & rubrics.

On the roadmap · Chapter admin

1. Create a season

No create-season form exists yet — every season today comes from seed data, though the underlying table (with draft/active/completed/archived status) is ready for it.

On the roadmap · Chapter admin

2. Season tied to a discipline; rubrics auto-populate

Every season today implicitly means theater — a discipline picker with automatic rubric-set cloning is on the roadmap.

Available · Chapter admin

3. Chapter admin sets the season calendar

The Important Dates page lets the chapter admin add or remove calendar entries — training day, voting day, gala, deadlines — tagged by kind.

Available · Chapter admin

4. New calendar date added

Adding a date is live on the shared calendar immediately — no draft/publish step.

Available · Chapter admin

5. Schools list

A searchable list of the season’s schools with contact info and performance counts. Read-only today — there’s no add-a-school form yet.

Available · Chapter admin

6. School profile

Contact info, directions, performances, and the reviewer team for one school. A chapter admin still eyeballs the roster themselves to confirm it’s staffed.

On the roadmap · Chapter admin

7. Create performances

Title, type, school, date, venue, playbill — the performances table supports all of it, but there’s no create/edit form yet. Every performance today is seeded.

On the roadmap · Chapter admin

8. Assign a show director to each performance

The backend service to assign roles exists, but no page currently has a role-assignment control wired up to it yet.

On the roadmap · Chapter admin

9. Activate the season

There’s a voting-day toggle, but no general draft-to-active transition yet — every season you see is already seeded as active.

Available · Chapter admin

10. Author award categories for the season

Chapter admins add and edit award categories — type, PLAY/MUSICAL/BOTH, linked rubric, max nominees — and activate or deactivate them.

Available · Chapter admin

11. Edit a rubric’s criteria and level descriptions

The rubric editor lets a chapter admin rewrite the description shown at each of the ten score levels — the exact text reviewers see live while scoring.

Available · Chapter admin

12. Rubric saved

Saving updates the rubric in place — every performance using it immediately shows reviewers the revised description.

Role Onboarding & Invites 9 steps

Getting every participant an account, the right season role, and a signed waiver before training day.

On the roadmap · Chapter admin

1. Invite season-wide roles by email

No invite system yet — role assignment requires an already-existing user account.

On the roadmap · Chapter admin

2. Bulk invite via spreadsheet

No CSV/spreadsheet import path exists to invite a whole roster in one pass.

On the roadmap · Member → chapter admin

4. Member self-selects a role; admin approves

Only admin-initiated role assignment exists — no member-facing request-a-role workflow yet.

Available · Chapter admin

5. Chapter admin assigns and edits season roles

The admin picks a person, a role, and an optional school scope, then assigns it. Existing roles are searchable and removable in one click — reviewer/adjudicator conflicts are enforced automatically.

Available · Chapter admin

6. New role assigned

Role crossovers on one person — like a show director who’s also a school rep — are explicitly supported.

On the roadmap · Chapter admin

8. Floating members

A person can belong to a chapter with no season role in the data model, but there’s no in-app flow to add one outside of seeding.

On the roadmap · Chapter admin / show director

9. Lead-reviewer designation

Not in the role model at all yet — there’s no signifier-only "lead reviewer" label.

On the roadmap · Show director / chapter admin

10. Record the school liaison

No liaison field exists on a school’s profile yet.

Available · Chapter admin

13. Chapter admin approves the waiver

A status dropdown on the admin’s user-detail page moves a waiver through not-submitted, submitted, approved, or expired. It’s global per-person today rather than per-season, and there’s no document upload yet.

Training Day 8 steps

Meant to be a first-class, roster-taking event that gates who can review a show. Today it’s a line on the calendar — everything else is roadmap.

Available · Chapter admin

1. Training day exists as a calendar entry

The season calendar supports a dated "event" entry, and Reviewer Training is already seeded there. This is the only piece of training day that’s built today — a title, a date, and an optional description, not yet its own roster or attendance model.

On the roadmap · Chapter admin

2. Tag each training day by the role it trains

No field distinguishes a reviewer-training session from an adjudicator-training or makeup session yet.

On the roadmap · Chapter admin

4. Online training + external quiz → mark present later

No path exists yet for crediting a reviewer who completed training online or after the fact.

On the roadmap · Chapter admin

5. Multiple training days + makeup days

Follows directly from the missing roster/attendance model above.

On the roadmap · Chapter admin / reviewers

6. Demo / sample show for practice scoring

No way yet to seed a practice show reviewers can score without it counting toward eligibility or awards.

On the roadmap · Chapter admin / member

7. Collect waivers at training

The waiver flow itself is real — see Role Onboarding & Invites — but training day has no waiver-specific UI of its own; it’s just the usual moment it gets collected.

On the roadmap · Chapter admin

8. Trace "was this person trained?" for late additions

With no training-attendance records yet, there’s nothing to verify a mid-season addition against.

On the roadmap · System / chapter admin

9. Training completion gates show assignment

Reviewer and adjudicator assignment works regardless of training record today — no gate checks it yet.

Nomination Lifecycle 11 steps

Nominee names, reviewed and approved through the season — feeding voting day’s slates and, eventually, the winners.

Available · Chapter admin

1. Chapter admin authors award categories

The same Categories & rubrics screen from Season Setup — nominations can’t exist without a category defined first.

On the roadmap · System / chapter admin

2. Nomination slots auto-created per performance

Nothing creates a show’s nomination slots automatically at runtime today — every slot is seeded.

Available · Chapter admin

7. Chapter admin console — Categories tab

The chapter admin has the same edit/approve power as an adjudicator, from the performance’s admin console — a "missing nominees" badge flags any category still without a name.

Available · Chapter admin

8. Admin edits a nomination directly

The admin’s override path, usable at any point in the season.

Available · Chapter admin

9. Nomination-window policy toggle

A season-wide "nominations open" toggle is real and persists — though nothing enforces it yet, so toggling it off doesn’t currently block edits.

Available · Chapter admin

10. Nominations closed

The toggle works and persists as state — it’s just not wired to any enforcement yet.

On the roadmap · Adjudicator / chapter admin

11. Canonical accepted names recorded on approval

Approving a nomination updates the submitted name, but the "canonical accepted" spelling that voting day’s conflict-matching is meant to key off doesn’t exist yet.

On the roadmap · System / primary teacher

12. Nominee and teacher told "you’re nominated"

Nothing surfaces a nomination to the student or their teacher anywhere in the product yet.

On the roadmap · System

13. Approved slate feeds awards computation

No awards service exists yet — approved nominations don’t feed anything downstream. That’s part of Voting Day’s remaining roadmap.

Available · Chapter admin

14. Nomination changes appear in the audit log

Every nomination write is recorded to the audit trail — though today it’s always logged as a generic "updated" rather than distinctly as approved or rejected.

On the roadmap · Show director / chapter admin

15. Withdraw / resubmit a rejected nomination

No withdraw concept yet — a rejected nomination has no resubmission path back to the director.

Performance Day 6 steps

The flagship flow — check-in to feedback, fully built and verified end to end. Every screenshot below is a real, driven action against live seed data.

Available · Chapter admin

1. Assign reviewing teams & adjudicators

The chapter admin adds whole school teams or individual reviewers, plus adjudicators, to a show. The host school is automatically flagged ineligible to review its own performance.

Available · Chapter admin

5. Admin reviews pending reschedule requests

The admin’s queue shows each request with the reviewer’s reason and ranked alternatives — annotated with each show’s current roster size.

Available · Chapter admin

6. Reschedule approved

Approving moves the reviewer’s attendance to the chosen alternative show — on both sides, instantly.

Available · Chapter admin

27. Chapter admin sees progress across every performance

A season-wide view flags which performances are behind on scores, responses, or feedback.

Available · Chapter admin

30. Admin console: categories, scores, and responses

Full drill-down for a completed performance — Categories, Scores, and Responses tabs.

Available · Chapter admin

31. Drilling into one reviewer’s score

Expanding a score shows the full criterion breakdown and complete audit history — submit, approve, reject, with actor and timestamp.

Voting Day 8 steps

Eligibility-gated scoring for the season’s final round. The phase gate and approval flow are built and shown live; slate and winner computation are next.

Available · Chapter admin

1. Voting day activated for the season

A single toggle on the season page switches every performance’s scoring phase from performance-day to voting-day.

Available · Chapter admin

2. Toggled off

One click deactivates voting day — every performance reverts to performance-day scoring.

Available · Chapter admin

3. Toggled back on

Reactivated — the rest of the flow happens with voting day live.

Available · Chapter admin

11. Per-performance score aggregates

The admin console aggregates scores per performance today — a season-wide leaderboard across every nominee in a category is the next piece to build.

On the roadmap · System / chapter admin

12. Compute top-5 nominations per category

Not built yet — the season-wide standings computation this depends on doesn’t exist.

On the roadmap · Chapter admin (committee)

13. Committee reviews slates and determines winners

No winners view or confirm-winner path yet — depends on the standings/slate computation above.

On the roadmap · System / chapter admin

14. Reviewer award for perfect attendance

The raw attendance and grade data is tracked, but nothing computes a per-grade standing from it yet.

On the roadmap · Chapter admin

15. Results feed the gala

Out of scope until the standings/winners computation above exists — would just export its output.
